("Maple Slice", "we", "us", or "our") is committed to protecting the privacy of the personal information of our clients, their employees, and visitors to our website. This Privacy Policy describes how we collect, use, disclose, and protect personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation in Ontario, Canada.

This policy applies to information collected through our website (www.mapleslicelogistics.ca), our fleet management software platform (the "Platform"), and in the course of our business operations, including the provision of custom packaging services.

1. Definitions

For the purposes of this Privacy Policy:

  • "Personal Information" means information about an identifiable individual, as defined under PIPEDA, but does not include the name, title, business address, or telephone number of an employee of an organization.
  • "Client" means a business entity that has entered into a service agreement with Maple Slice for fleet management software, packaging supply, or both.
  • "Driver Data" means information collected through our Platform relating to delivery drivers employed by our Clients, including GPS location data, route histories, delivery timestamps, and performance metrics.
  • "Platform" means the Maple Slice fleet management software application, including web-based dashboards, mobile applications, and associated APIs.

3. Information We Collect

3.1 Information Collected from Clients (B2B)

When a restaurant or business engages our services, we collect:

  • Business contact information (name, title, business email, business phone number, business address)
  • Business registration and tax identification numbers
  • Billing and payment information (processed through our PCI-DSS compliant payment processor)
  • Information about the Client's delivery operations, including number of drivers, delivery zones, and operating hours
  • Communication records between the Client and our support or sales teams

3.2 Driver Data Collected Through the Platform

When our Clients use the Platform to manage their delivery operations, the Platform collects the following data relating to delivery drivers:

  • Driver identification information (name, employee ID, driver's license number where required by the Client)
  • GPS location data during active delivery shifts
  • Route histories and delivery timestamps
  • Delivery completion records and customer signatures (where enabled)
  • Performance metrics including delivery times, distances, and on-time rates
  • Device information from mobile devices running the Maple Slice Driver App

We collect Driver Data as a data processor acting on behalf of our Clients. Our Clients are the data controllers responsible for ensuring appropriate notice to and consent from their drivers regarding the collection and use of this data. Our Client service agreements require Clients to comply with all applicable privacy legislation in their collection and use of Driver Data through the Platform.

3.3 Website Visitor Information

When you visit our website, we may collect:

  • Information you voluntarily provide through contact forms, demo requests, or email inquiries
  • Technical information automatically collected through cookies and similar technologies, including IP address, browser type, operating system, referring URL, pages visited, and time spent on pages
  • Information collected through Google Analytics (see Section 8 for details on cookies)

3.4 Packaging Order Information

When Clients place custom packaging orders, we collect:

  • Order specifications (box sizes, quantities, artwork files)
  • Shipping addresses for delivery of packaging supplies
  • Purchase order numbers and accounts payable contact information

4. Purposes of Collection

We collect and use personal information for the following purposes:

  • To provide, maintain, and improve our fleet management software and packaging services
  • To process orders, invoices, and payments
  • To provide customer support and respond to inquiries
  • To communicate with Clients about their accounts, service updates, and new features
  • To generate anonymized and aggregated analytics about platform usage and delivery patterns
  • To ensure the security and integrity of our Platform and to detect and prevent fraud
  • To comply with legal and regulatory requirements
  • To enforce our Terms of Service and other contractual obligations

5. Consent

We obtain consent for the collection, use, and disclosure of personal information as required by PIPEDA. The form of consent we seek (express or implied) depends on the sensitivity of the information and the reasonable expectations of the individual.

By entering into a service agreement with Maple Slice, our Clients consent to the collection and use of information as described in this Privacy Policy and in our service agreements. Clients are responsible for obtaining any necessary consents from their employees (including delivery drivers) for the collection and processing of personal information through our Platform.

Website visitors who submit contact forms or demo request forms consent to the use of the information they provide for the purpose of responding to their inquiry and providing information about our services.

You may withdraw your consent at any time, subject to legal or contractual restrictions, by contacting our Privacy Officer. Please note that withdrawal of consent may affect our ability to provide certain services.

6. Limiting Collection

We limit the collection of personal information to that which is necessary for the purposes identified in this Policy. We collect personal information by fair and lawful means, and we do not collect personal information indiscriminately.

7. Limiting Use, Disclosure, and Retention

7.1 Use and Disclosure

We do not use or disclose personal information for purposes other than those for which it was collected, except with the consent of the individual or as required by law. We do not sell personal information to third parties.

We may disclose personal information to:

  • Service providers: Third-party vendors who provide services to us, including cloud hosting (Amazon Web Services, Canada region), payment processing, email delivery, and customer support tools. These providers are contractually bound to use personal information only as necessary to provide services to us and to maintain appropriate security safeguards.
  • Legal requirements: Law enforcement agencies, courts, or regulatory bodies when required by applicable law, regulation, court order, or subpoena.
  • Business transfers: In connection with a merger, acquisition, or sale of all or a portion of our assets, personal information may be transferred to the acquiring entity, subject to applicable privacy legislation.

7.2 Retention

We retain personal information only for as long as necessary to fulfill the purposes for which it was collected, or as required by law. Specific retention periods include:

  • Client account data: Retained for the duration of the service agreement plus seven (7) years for tax and audit purposes.
  • Driver GPS and route data: Retained for ninety (90) days in real-time format, then archived in anonymized/aggregated form. Clients may request earlier deletion.
  • Website visitor data: Contact form submissions are retained for two (2) years. Analytics data is retained in accordance with Google Analytics data retention settings (currently 14 months).
  • Packaging order records: Retained for seven (7) years for tax and business purposes.

When personal information is no longer required, it is securely destroyed, erased, or rendered anonymous.

8. Cookies and Tracking Technologies

Our website uses cookies and similar tracking technologies to improve user experience and to collect analytics data. The types of cookies we use include:

  • Strictly necessary cookies: Required for the basic functionality of our website, including session management.
  • Analytics cookies: We use Google Analytics to collect anonymized information about how visitors use our website. Google Analytics uses cookies to collect information such as pages visited, time spent on pages, and referral sources. This information is used to improve our website and understand visitor behaviour. You can opt out of Google Analytics by installing the Google Analytics Opt-out Browser Add-on.
  • Functional cookies: Used to remember user preferences, such as language and display settings.

9. Safeguards

We protect personal information with security safeguards appropriate to the sensitivity of the information. These safeguards include:

  • Technical safeguards: Encryption of data in transit (TLS 1.2+) and at rest (AES-256), firewalls, intrusion detection systems, access controls, multi-factor authentication for administrative access, and regular security assessments.
  • Organizational safeguards: Employee background checks, mandatory privacy and security training, confidentiality agreements, role-based access controls, and clear desk/clear screen policies.
  • Physical safeguards: Our offices are secured with key card access. Our cloud infrastructure is hosted in AWS Canada (ca-central-1) region, which maintains SOC 2 Type II certification.

We regularly review our security practices and update them as necessary to address new threats and vulnerabilities.

10. Openness

We make information about our privacy policies and practices readily available. This Privacy Policy is published on our website and is available upon request. We will notify Clients and affected individuals of any material changes to this Privacy Policy.

11. Individual Access

Upon written request, we will inform individuals of the existence, use, and disclosure of their personal information and provide access to that information, subject to exceptions permitted by PIPEDA. Access requests should be directed to our Privacy Officer.

We will respond to access requests within thirty (30) days. In some cases, we may require additional time, in which case we will notify the requestor of the expected response date. We may charge a minimal fee to cover the cost of responding to an access request, but we will inform the requestor of the approximate cost in advance.

12. Challenging Compliance

Individuals may challenge our compliance with this Privacy Policy by contacting our Privacy Officer. We will investigate all complaints and take appropriate measures to resolve them. If we find a complaint to be justified, we will take the necessary steps to amend our policies and practices.

13. Data Breach Notification

In accordance with PIPEDA's breach of security safeguards provisions, we will notify the Privacy Commissioner of Canada and affected individuals of any breach of security safeguards involving personal information that creates a real risk of significant harm. We will also notify any other organization or government institution that may be able to reduce the risk of harm.

We maintain a breach response plan that includes procedures for containment, assessment, notification, and remediation. We maintain records of all breaches of security safeguards regardless of whether notification is required.

14. Cross-Border Data Transfers

Our primary data infrastructure is hosted in Canada (AWS ca-central-1 region). In certain circumstances, personal information may be transferred to or accessed from jurisdictions outside of Canada for the purpose of providing technical support or using third-party service providers. Where such transfers occur, we ensure that appropriate contractual safeguards are in place to protect personal information in accordance with PIPEDA.

Currently, the following cross-border transfers may occur:

  • Technical support queries may be accessed by support personnel located in the United States during off-hours coverage.
  • Email communications are processed through servers located in the United States (subject to Standard Contractual Clauses).

15. Children's Privacy

Our services are designed for business-to-business use and are not directed at individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have inadvertently collected personal information from a child, we will take steps to delete it promptly.

16. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technologies, legal requirements, or other factors. We will post the updated policy on our website with a revised "Last Updated" date. For material changes, we will provide notice to our Clients through the Platform or via email.
